Core Objectives:

  • Client & Guest Experience: Ensure excellent experience for all firm guests and employees by providing timely support, assistance and completing tasks on time and as requested.
  • Attorney and Staff Assistance: Work closely with all members of the Office Services Team in coordination with the other administrative and legal staff of the firm, to ensure timely completion of tasks and the provision of services and supplies, such that the Firm functions as efficiently and professionally as possible in performing work for our clients.
Typical Tasks:

What follows is a sample list of responsibilities in this role. This list is not intended to be exclusive but will identify some typical day-to-day tasks and projects.

Client & Guest Assistance:
  • Back up the front desk answering and routing calls to appropriate individuals through a multi-line phone system.
  • Back up the front desk greeting in-person guests and directing them to the appropriate location within the office.
  • Escort guests to conference rooms that must be accessed via the elevator.
Office Services:
  • Making coffee and maintaining beverage supplies.
  • Sending and receiving mail (postage, collection, sorting, distribution, etc.); mail runs (including certified mail) as scheduled/required.
  • Collection and distribution of interoffice mail
  • Stocking of supply cabinets (coordinating ordering of needed supplies with the Office Services Manager)
  • Assist with meeting set up and clean up as necessary in the office.
  • Assist with copy/scanning projects as needed to support the legal support services and administrative operations team.
  • Cleaning, tidying and organizing copy rooms/shared work areas and all kitchen areas within the firm.
  • Emptying recycling and shredding bins
  • Refilling paper in copiers and fax machines
  • Providing back-up front desk/reception coverage to include answer phones, greeting guests and beverage service.
  • Set-up for attorney/staff meetings with or without lunches; distribute menus, order lunches; set up conference rooms w/beverage services for client meetings/mediations, etc.
Requirements

Experience
  • 1-3 years of administrative and/or office support type roles.
  • Experience in a private law firm and/or professional services environment preferred.
Necessary Knowledge, Skills & Abilities
  • Ability to exercise and maintain a high level of confidentiality, discretion and professionalism.
  • Strong interpersonal, organizational, analytical, decision-making, and problem-solving skills are required with adaptability and the ability to change plans as needed.
  • Must be detail-oriented, able to think critically and set high standards for accuracy in a high-volume environment.
  • Excellent communication, and interpersonal skills.
  • Comfortable with technology and able to quickly learn new tools to include: Word, Excel, Outlook, Teams, SharePoint, Power Point, Adobe, Metro Fax, Caret Legal, and Net Documents.
  • Dedicated team player with the ability to work independently as well.
  • Exceptional client service skills and ability to work independently, as well as on a team.
  • Ability to multi-task and work in a fast-paced team environment.
  • Comfortable developing interpersonal relationships with Attorneys and staff members.
  • Must have demonstrated experience with Microsoft Office Suite, including Word, Excel, Outlook, Teams, SharePoint, and Power Point.
