Receptionist / Client Services Coordinator

Our client is an established and rapidly growing law firm located in Troy, IL, with a strong client-first culture. Position Overview

The Receptionist is the first point of contact for clients, visitors, and callers. This role is central to shaping every client relationship and requires a warm, professional, and highly organized individual who thrives in a dynamic environment. Position Details

  • Location: Troy, IL
  • Schedule: Monday - Friday, 9:00 AM - 5:00 PM
  • Employment Type: Full-Time, On-Site

Key Responsibilities

  • Answer and direct incoming phone calls promptly and professionally, ensuring callers are routed to the appropriate attorney or staff member
  • Greet and welcome clients and visitors with a warm, professional demeanor, ensuring they feel comfortable and valued from the moment they arrive
  • Manage the front desk and reception area, maintaining a clean, organized, and professional environment at all times
  • Schedule and confirm client appointments, coordinate conference room bookings, and assist with calendar management
  • Receive, sort, and distribute incoming mail, packages, and correspondence; coordinate outgoing deliverables
  • Assist with client intake processes, including collecting initial information and preparing intake documentation
  • Handle sensitive and confidential client information with the utmost discretion
  • Provide general administrative and clerical support to attorneys and staff as needed
  • Monitor and maintain front office supply inventory

Qualifications & Requirements

  • Minimum 2 years of experience in a receptionist, front desk, or client-facing role; experience in a law firm, professional services, or similarly client-focused environment strongly preferred
  • Demonstrated history of direct client interface with the ability to communicate with professionalism, empathy, and clarity
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities in a busy office environment
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and comfort with learning new software systems
  • High level of discretion and ability to maintain strict confidentiality
  • Professional appearance and demeanor consistent with a law firm environment
  • Dependable, punctual, and team-oriented with a positive, can-do attitude

Preferred Qualifications

  • Prior experience in a legal setting or professional services firm
  • Familiarity with legal terminology and law office procedures
