POSITION SUMMARY:

This is professional work planning and managing a variety of special events, conventions, tradeshows, concerts, and activities. Activities associated with the job include assisting co-workers, other SMPA departments and volunteers with executing SMPA special events. This position also assists show organizers at Sand Mountain Park & Amphitheater to successfully plan their event as related to SMPA.

PRIMARY RESPONSIBILITIES WILL INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

  • Directly aligning with the venue Mission Statement and Core Values
  • Providing exceptional customer service to stakeholders by responding to requests in a timely and professional manner
  • Assists with the coordination and preparation of materials and supplies for events
  • Serves as the primary contact and liaison with venue clients
  • Identifies talent and entertainment as needed for events and negotiates fees and contract riders
  • Effectively managing all aspects of the event ticketing process
  • Overseeing, planning, promoting, coordinating, and executing various small and large-scale special events for the facility
  • Developing and monitoring event timelines, securing entertainment & vendors for the events. Working with event staff and stakeholders to ensure deadlines are met
  • Coordinating and supervising work of, and serve as liaison to, vendors, sponsors, and/or other persons related to the implementation of the event
  • Coordinate, direct, and participate in setup, breakdown, and decoration for all events, including audiovisual equipment, security, and food services
  • Assisting with maintaining and controlling inventory of supplies and/or equipment used for events
  • Procuring equipment and supplies needed by recommending and ordering
  • Providing post-event evaluation for all events to identify opportunities for improvement of future events
  • Works with Marketing Department to perform a variety of public relations activities related to meetings & events
  • Secures details pertaining to event set-ups and schedules and ensures that all arrangements meet the needs of clients
  • Prepares and maintains event files, records, and related information.
  • Supervises and directs the activities of event workers and volunteers
  • Establishing relationships and effective agreements with preferred caterers
  • Establishing relationships and effective agreements with external food & beverage vendors
  • Serving as the Manager-on-Duty (MOD) during all scheduled shifts
  • Additional tasks assigned by management

THE IDEAL CANDIDATE HAS:

  • Proven success in generating community interest and involvement through non-sporting events such as: concerts (and other amphitheater events), banquets, catered events, business meetings and trade shows
  • Experience in non-sporting events as a consumer, director, or other relevant experience
  • Action-oriented personality with a 'get it done' attitude and proficiency for efficiency
  • Knowledge of event logistics including crowd flow, event lay-outs, electrical, lighting, and sound system requirements, move-in and move-out of equipment, staging, etc.
  • Skill in coordinating and organizing a variety of events and activities and meet established contractual obligations
  • Ability to prepare and maintain records, files, and related documentation in an organized and accessible manner

MINIMUM QUALIFICATIONS:

  • 5-7 years appropriate experience required
  • Excellent interpersonal, problem solving and negotiating skills
  • Team player mentality
  • Excellent verbal and written communication skills
  • Excellent computer skills, including Word, Outlook Excel, and PowerPoint
  • Willing to work a flexible schedule, including evenings, weekends, and holidays as needed
  • Possess current CPR/First Aid/AED certifications or must be willing to obtain them within a specified period of time
  • Bachelor's degree in hospitality or related field preferred

WORKING CONDITIONS AND PHYSICAL DEMANDS:

  • Must be able to lift 40 pounds waist high
  • May be required to sit or stand for extended periods of time whether indoors or outdoors, and squat, stoop, or bend
  • Will be required to operate a computer
  • Facility has intermittent noise
